  1. Responsible for coordinating room setups.
  2. Responsible for overseeing the scheduling of rooms for events including classes, meetings, workshops, etc.
  3. Continuing Education – Coordinates weekend setup making sure program runs smoothly.
  4. Issues necessary keys and maintains key files.
  5. Implements and maintain the campus Emergency Procedures Manual and program.  Meets with OSHA and campus insurance company to maintain compliance.
  6. Monitors office and maintenance supplies and order appropriate supplies and monitors receipt of orders.
  7. Responsible for copy room maintenance, to include all copy machines and supplies, monitoring copier usage, training faculty and staff in the use of copy machines.
  8. Requests and oversees services as needed for machines and equipment including vending machines.
  9. Responsible for overseeing the distribution of on-campus mail and posting off-campus mail each day.
  10. Coordinates the campus recycling program.
  11. Responsible for overseeing necessary deliveries and pick-ups including overnight services (except Library) and post office.
  12. Participates in Graduation preparation to include contact prospective sites, negotiation contracts with prospective caterer, photographer and sound system technician. 
  13. Works with all constituencies, Director of Campus and Student Services to understand space requirements for the campus community.  Work with architects to convert these requirements into a physical plan, help insure compliance to all appropriate codes.  Take primary responsibilities to coordinating the move to a new facility.
  14. Works with Finance in approving for payment and coding for appropriate account/Departments are charged as necessary.
  15. Coordinates annual faculty offices moves.
  16. Responsible for coordinating employee moves to other locations.
  17. Assist with Adjunct faculty – office assignment, keys and copy codes.
  18. Provide support to Psychological Service Center (PSC) in Oakland, President’s Office and San Francisco Law School
  19. Performs other tasks as assigned by Supervisor and/or Director of Campus Services

Supervises the Facilities Assistant and Assistant Janitor

The Facilities Manager, under the direction of the Chief Facilities & Auxiliary Services Officer, is responsible for maintenance, repair and security of campus facilities and all property; maintenance and ordering of supplies, equipment and office furniture, distribution of mail; maintenance of the copy room and machines; scheduling of rooms; assisting in Gradation preparation.
Specific duties include: Responsible for the ongoing assessment and repair of buildings, and oversee the maintenance of all campus property, authorizing plan repairs and maintenance within budgetary limitations.
Ensures appropriate standards of cleanliness in building and on grounds, to include serving as liaison with maintenance services, and that a safe environment for all students and employees is maintained.  Oversees and monitors the campus Injury Prevention Program.  Maintains campus crime statistics in compliance with Department of Education federal regulation.  Ensures the safety, cleanliness, upkeep and security of the building according tot ADA guidelines.

Bachelor’s Degree in Architecture, Engineering, Business Management, or a field related to either the technical or managerial aspects of facilities operations.

Extensive experience developing, implementing and monitoring policies and procedures related to facilities management, safety and other areas of facilities management. Knowledge of OSHA guidelines and their application, including knowledge of methods, materials, chemicals and equipment used in building maintenance. Demonstrated competence in Microsoft Office suite applications (Excel, PowerPoint, Word). Capacity to read architectural and construction plans.

Minimum five year’s progressively responsible supervisory experience overseeing all aspects of physical plant and facilities for a large, geographically disbursed organization, preferably in education. Strong interpersonal and oral/written communication skills with the ability to establish and maintain effective working relationships with administrators, staff, faculty, students, vendors and contractors. Demonstrated budget management experience, preferably in a University or higher education setting. Strong skills in setting appropriate priorities, managing work schedules, and providing oversight for multiple, complex projects covering a wide range of operational responsibility. Must possess a thorough knowledge of all aspects of physical plant and facilities management with a working knowledge of complex building systems and their management, and experience in negotiating and overseeing commercial leases and service contracts. Experience managing preventive and deferred maintenance programs.
